Hot Desking Hygiene: Keeping Shared Desks and the Pantry Clean in UAE Offices (2026)

Hybrid work has turned many UAE offices into hot-desking floors, where a desk, keyboard and pantry mug can have three users in a week. This guide shows office and facility managers how to keep shared desks and the pantry clean: a simple wipe-down routine, the supplies each zone needs, lockers and clean-desk rules, shared mugs and fridges, and how to keep it going in cold and flu season.

Hybrid work has changed how UAE offices use space. Many companies now have fewer desks than people, and a desk, keyboard, chair and phone can be used by several people in a week. The pantry is shared even more: the same kettle, fridge handle and coffee machine buttons are touched by everyone who comes in.

That is efficient, but it needs a routine. Without one, shared desks become cluttered, the fridge fills with forgotten food, and colds spread through the team in winter. This guide covers a simple routine that works.

Why hot desking needs its own hygiene plan

In a traditional office, each person looks after their own desk. In a hot-desking office, nobody owns the desk, so nobody cleans it unless there is a clear rule. Three things change:

  • More shared touchpoints. Keyboards, mice, desk phones, chair arms and monitor arms are shared.
  • Personal items move around. Mugs, snacks and water bottles travel with people and get left behind.
  • Cleaning teams see a different office each day. A desk used on Monday and Tuesday may be empty on Wednesday.

The hybrid work pantry planning guide covers how hybrid patterns change pantry ordering; this guide focuses on hygiene.

The two-minute desk routine

The most reliable approach is to ask each person to leave the desk clean, and give them what they need to do it:

  1. Wipe the keyboard, mouse and desk surface with a disinfectant wipe at the end of the day.
  2. Take personal items to a locker or home: mugs, snacks, chargers and papers.
  3. Bin any rubbish, including cups and food wrappers.
  4. Leave the chair and monitor in a neutral position for the next person.

Put a small caddy on each desk bank with wipes, a spray and cloths. Our office hygiene range covers wipes, sprays and dispensers, and the cleaning supplies range has refills.

Supplies for each zone

Think of the office in zones, each with its own basic kit:

ZoneWhat it needs
Desk banksDisinfectant wipes, a spray and cloths, a small bin
Entrance and liftsHand sanitiser dispenser
Meeting roomsWipes for tables and screens, a bin, water
PantryHand soap, paper towels, surface spray, dishwashing supplies, a sealed bin
WashroomsSoap, paper towels, tissues and refills

The facility hygiene range covers dispensers and larger-format refills, and the cleaning supplies and washroom consumables guide lists quantities by team size.

Lockers and clean-desk rules

A clean-desk policy is what makes hot desking work. Keep it short:

  • Nothing left on desks overnight, except the desk's own equipment.
  • A locker or storage box per person for personal items. Our stationery and office furniture range includes storage options.
  • Labelled shared items such as headsets and adaptors, kept in a central cupboard.

The stationery and desk supplies guide explains how to stock shared stationery so people do not hoard it at a desk.

The shared pantry: mugs, fridge and machine

The pantry is where hot-desking hygiene usually breaks down. Four habits help:

  • Mugs. Either everyone washes their own mug straight away, or the office uses a dishwasher with enough mugs for a full day. Mugs left on desks are the most common complaint.
  • Fridge. A weekly clear-out on a fixed day, with a rule that unlabelled food goes. See the pantry etiquette rules guide.
  • Coffee machine and kettle. Wipe the buttons, handles and drip tray daily. The equipment maintenance guide covers descaling and servicing.
  • Snacks. Single-portion packs are more hygienic than open jars when many people share a pantry. See office snacks and nuts and seeds in single packs.

The pantry cleaning schedule checklist has a ready daily, weekly and monthly routine.

Cold and flu season

Winter in the UAE brings more colds and flu, and a hot-desking office spreads them faster. From November to March:

  • Add hand sanitiser to every desk bank, not just the entrance.
  • Increase desk and meeting-room wipe-downs.
  • Stock tissues, herbal teas, honey and lemon in the pantry.
  • Encourage people who are unwell to work from home, which hybrid set-ups make easy.

The cold and flu season pantry hygiene guide goes into more detail.

Who owns it

Hygiene routines fail when nobody owns them. Name one person, usually the office or facility manager, to check supplies weekly, agree the cleaning team's schedule and remind staff of the rules. A standing order for wipes, soap, paper and pantry supplies stops things running out; the inventory management guide shows how to set par levels.

Hot desking is common in coworking spaces, consultancies, law firms and real estate companies, where staff spend much of their time with clients. My Healthy Office supplies pantry, hygiene and cleaning products to offices across the UAE; see all areas we deliver to and the full product categories.

The short version

  • Give every desk bank a wipe-down kit and ask people to leave desks clean.
  • Equip each zone: desks, entrance, meeting rooms, pantry and washrooms.
  • Use lockers and a short clean-desk policy.
  • Fix the shared pantry: mugs, a weekly fridge clear-out and daily machine wipe-downs.
  • Step up hygiene from November to March and name one owner for the routine.
