From November to March, UAE offices move events outdoors: terrace breakfasts, team barbecues, family days and site celebrations. This guide covers when to hold them, what food and drinks to order, how much to plan per person, and how to handle heat, wind and food safety outside.

For most of the year, an outdoor office event in the UAE is out of the question. Then the weather turns. From around November to March, mornings and evenings are pleasant, and teams want to be outside: breakfast on the terrace, a barbecue on the roof, a family day in a park or a celebration at a project site.

Outdoor events are some of the best-remembered moments of the working year. They also go wrong in ways indoor events do not: drinks run warm, food sits in the sun, the wind blows the napkins away. This guide covers how to plan them.

When to hold outdoor events

The cooler season is not uniform. A few rules of thumb:

  • November and March can still be warm at midday. Plan for mornings or late afternoons.
  • December to February are the most comfortable months. Midday events are usually fine, but evenings can be cool and windy, especially near the coast.
  • Avoid busy public holiday weekends if you are using a public venue, as parks and beaches fill up.

Check the forecast a few days ahead and have an indoor fallback, especially for evening events by the water in places such as Dubai Marina or Yas Island.

Common formats

Most outdoor office events fall into a few types:

FormatTypical timeWhat to serve
Terrace breakfast8:00 to 10:00Pastries, fruit, yogurt, coffee, juice
Team barbecue12:00 to 15:00 or 17:00 to 20:00Grilled mains, salads, bread, cold drinks
Family day10:00 to 15:00Simple food, lots of water, snacks for children
Site or project celebrationMorning or late afternoonBreakfast boxes or platters, water, juice
Wellness morning7:00 to 9:00Fruit, smoothies, water, light breakfast

The corporate breakfast catering guide and the breakfast and corporate events range cover the morning formats. For wellness mornings around the Dubai Fitness Challenge, see the Dubai Fitness Challenge pantry guide.

Drinks: plan for more than you think

Even in winter, people drink more outside than in an air-conditioned office. Plan for:

  • Water: at least 500 ml per person for a two-hour event, more if there is sport or children.
  • Cold drinks: juices, sparkling water and zero-sugar soft drinks. The soft drinks guide helps choose.
  • Hot drinks for morning and evening events: coffee and karak chai are popular as the temperature drops. See the batch brew coffee guide for serving larger groups.
  • Ice: more than you expect. The ice supply guide covers quantities.

For year-end parties and client events, the alcohol-free drinks guide covers mocktails and premium soft drinks. Our juices and waters range covers the basics.

Food safety outside

Food left in the sun is the main risk at an outdoor event, even in winter. Keep it simple:

  • Keep chilled food chilled. Use cool boxes with ice packs and put out small amounts at a time.
  • Two-hour rule. Throw away perishable food that has been out for more than about two hours, or less if it is warm.
  • Cover food against dust and insects.
  • Separate raw and cooked at barbecues, with separate tongs and plates.
  • Hand washing. Provide hand sanitiser and wipes if there is no sink nearby.

The food safety rules guide covers the general principles.

Dietary needs

Outdoor events often include families and guests, so cover the main needs:

  • Everything halal, with clear labels.
  • A plant-based main. The meat alternatives guide covers options for barbecues.
  • Nut-free options and clear allergen labels. See the nut-free pantry guide.
  • Fruit and low-sugar options alongside desserts.

How much food to order

A starting point per person:

  • Breakfast: 2 pastries or one breakfast box, 1 portion of fruit, 1 yogurt or granola pot.
  • Barbecue: 250 to 300 g of grilled mains, 2 sides, bread, fruit or a small dessert.
  • Family day: plan children at about half an adult portion, plus snacks through the day.

Then add 10% for unexpected guests. The team offsite catering guide has more detail for full-day events.

Practical checklist

  • Book the space, and check with building management if the event is on a roof or terrace.
  • Plan shade, seating and a power source if you need one.
  • Use weighted or clipped tablecloths and napkin holders; wind is common.
  • Bring enough bins and liners, and plan the clean-up.
  • Choose reusable or compliant single-use items. The cups and cutlery guide explains the UAE single-use rules.
  • Confirm delivery time and place with the supplier the day before.

Site teams and industrial locations

Outdoor events are not only for office towers. Construction and engineering firms, logistics companies, manufacturers, oil and gas operators and aviation and airport services teams often celebrate milestones on site, in yards and warehouses in Al Quoz, JAFZA, Dubai South and Mussafah. Breakfast boxes and individually packed snacks work better than buffets in these settings. Real estate developers, government entities and teams in Masdar City also run outdoor launches and community days through the cooler months.
