A training centre is not a normal office. The core team may be ten people, but on a busy day there are forty learners in three classrooms, each group with its own break times. Coffee runs out at 10:30, water bottles pile up and the snack shelf is empty by noon.
This guide is for operations managers at training centres, executive education providers, language schools and corporate academies in the UAE.
Why training days need their own plan
- Headcount changes every day. A Monday with one workshop and a Wednesday with three need very different orders.
- Breaks happen all at once. Twenty people want coffee in the same ten minutes.
- Learners are guests. The coffee break is part of what they paid for, and it shows up in course feedback.
- Long sessions need steady energy. A full day of learning goes better with water, fruit and protein than with pastries alone.
Plan by session, not by month
Start from the training calendar, not from last month's order:
- List sessions for the next two weeks with the number of learners and whether lunch is included.
- Set a per-learner allowance for each break: for example two hot drinks, one bottle of water and one snack per half day.
- Add a buffer of about 10% for trainers, guests and late sign-ups.
- Order fresh items weekly and dry items such as coffee, tea, biscuits and nuts every two to four weeks.
The inventory management guide shows how to set par levels, and the batch brew coffee guide explains how to serve twenty or more coffees in one break without a queue.
What a good training break looks like
Morning break
- Batch brew coffee, tea and a decaf option
- Water, still and sparkling
- Fresh fruit and a small pastry or granola bar
Lunch (if included)
- One main with a vegetarian option
- Salad or cut vegetables
- Water and a juice
Afternoon break
- Coffee and tea again
- Nuts, dried fruit, dates or a low-sugar treat

Dietary needs and labels
Ask about allergies and dietary needs in the registration form, not on the day. Label every platter with the main allergens, and keep a nut-free and a vegetarian option at every break. The allergen labelling guide explains what to show.
Stationery and pantry in one order
Training centres use a lot of stationery: notebooks, pens, flip chart paper, whiteboard markers and name badges. Put them in the same regular order as the pantry so one person checks one delivery. See stationery and office furniture and the stationery and desk supplies guide.
Where training providers are based
- Dubai Knowledge Park is home to many training institutes, HR consultancies and education providers. The Al Quoz, d3 and Knowledge Park guide covers delivery there.
- Dubai Silicon Oasis has tech academies and coding bootcamps.
- Al Reem Island in Abu Dhabi hosts corporate training and professional education teams.
Schools and universities have their own needs; see schools and universities and the schools and universities pantry guide. Government training academies follow similar patterns; see government and public sector.
Keeping costs under control
- Charge it to the course. Build a per-learner catering cost into each course price.
- Track waste per session. If half the pastries come back every morning, cut the order.
- Use one supplier for pantry, stationery and hygiene so finance sees one invoice.
The cost per employee guide gives benchmarks you can adapt per learner.
The short version
- Plan from the training calendar, not from last month's order.
- Set a per-learner allowance per break and add a 10% buffer.
- Use batch brew coffee so everyone is served in one break.
- Ask about dietary needs at registration and label every platter.
- Order stationery and pantry together in one delivery.
Frequently Asked Questions
How much coffee should a training centre order per learner? A simple starting point is two hot drinks per learner per half day, plus about 10% for trainers and guests. Adjust after two weeks based on what is left over.
Should training centres offer lunch or only coffee breaks? It depends on the course price and length. Full-day courses usually include lunch, while half-day sessions can work well with a strong coffee break and snacks.
How do we handle allergies for learners we have not met? Ask about allergies and dietary needs in the registration form, label every platter with the main allergens and keep a nut-free and a vegetarian option at each break.
Can stationery and pantry supplies come in one delivery? Yes. Notebooks, pens, flip chart paper and markers can be delivered with coffee, water, snacks and fruit in one regular order.
Do you deliver to Dubai Knowledge Park? Yes. My Healthy Office delivers pantry, stationery and hygiene supplies to offices and training centres in Dubai Knowledge Park and across Dubai and Abu Dhabi.
